Rapid Scribe — Privacy Policy

The short version

Rapid Scribe is built so your sessions stay yours. Recording, transcribing and storing them all happen on your iPhone. We run no servers, there are no accounts, and we never receive, see or transmit your recordings, transcripts or notes. Anything that leaves your device does so because you sent it — by exporting it, or by turning on a backup to storage you control.

Who this policy covers

This policy explains how the Rapid Scribe app (Rapid Scribe, “the app”, “we”, “us”) handles information. It applies to the Rapid Scribe app for iPhone, published at madebyrapid.com by Max’s Enterprises Pty Ltd (ABN 82 002 434 577), New South Wales, Australia.

What the app stores on your device

To do its job, Rapid Scribe creates and stores the following, on your iPhone:

• Audio recordings of the sessions you record, saved as audio files on your device.
• Transcripts generated from those recordings.
• Session details you add — titles, session type, the items in a walkthrough, participants, a confidentiality label, any record of consent, and your notes.

This is held in the app’s private storage on your device, protected by iOS and your device passcode, Face ID or Touch ID. It stays there until you delete it — see “Deleting your information”.

What we collect — nothing

To be unambiguous about it:

• No analytics. The app contains no analytics or usage-tracking software.
• No telemetry or crash reporting that sends anything off your device.
• No accounts and no sign-up. You do not create an account, and we hold no profile about you.
• No servers. Rapid Scribe has no back end. Your information has nowhere to be sent, because there is nothing on the other end to receive it.
• No advertising, and nothing sold. We cannot sell what we never receive.

Because your content never reaches us, we are not able to access, recover or disclose your recordings or transcripts — to anyone.

Permissions the app asks for

• Microphone — used only to record session audio, and only while a recording is in progress.
• Speech Recognition — used to transcribe your recordings. In Rapid Scribe this runs on your device using Apple’s built-in speech framework; your audio is not sent away to be transcribed. iOS names the permission “Speech Recognition”; in this app the work is done locally.
• Photos — only if you attach a photo to an item, and only the photos you choose.

You can review or revoke any of these at any time in the iOS Settings app.

On-device transcription

Transcription is performed on your iPhone using Apple’s on-device speech recognition. Your audio and the resulting transcript are processed locally and are never sent to Apple, to us, or to any third party for transcription.

The first time transcription is needed, iOS may download the relevant Apple language model to your device. That is a standard system download of Apple’s software model — it carries no information about you or your sessions, and no audio or transcript is uploaded as part of it.

Backups, and where they go

Rapid Scribe can keep a backup of your sessions so you do not lose them. You choose which of these applies, and you can change it at any time:

• Your own iCloud Drive. The backup is written to your personal iCloud account, under your Apple Account. It is your storage, governed by your agreement with Apple. We have no access to it and no way to read it.
• A cloud folder you choose. If you point the backup at a folder belonging to another service, that service handles the file under its own terms and privacy policy, not this one.
• On this device only. Nothing is uploaded at all. For sessions marked confidential, this is enforced inside the app rather than left to a settings toggle.

A backup contains your recordings, transcripts, participants and consent records, so that restoring onto a new iPhone brings your work back intact. Wherever you send it, it goes to storage you control — it does not pass through us, and we never receive a copy.

Exporting, and sharing what you export

You can export a session as a Markdown or text document and share it using the standard iOS share sheet — to Files, Mail, Messages, AirDrop, or another app you pick.

• You decide what to export and where it goes.
• Once you hand a file to another app or service, that content is handled under that service’s terms and privacy policy, not this one. If you email an export, your mail provider handles it; if you give it to an assistant or another tool, that tool’s terms apply.

We have no visibility into, or control over, what happens to a file after you share it.

Your responsibility when recording others

Recording conversations is regulated differently across countries and, in Australia, across individual states and territories. Depending on where you are and who is present, you may be legally required to inform the people present and to obtain their consent before recording. You are responsible for complying with the laws that apply to you and for obtaining any consent you need. Rapid Scribe offers a consent-confirmation step and a roll call as helpful prompts, but they are not legal advice and do not remove your responsibility.

Deleting your information

• You can delete any session — with its audio and transcript — from inside the app.
• Deleting the app removes everything it has stored on that device.
• A backup you have made lives in your own storage. Delete it there, the same way you would any other file.
• Because we hold none of your content, there is nothing for you to ask us to delete on our side.

Children

Rapid Scribe is a tool for professional use and is not directed at children. We do not knowingly collect information from children — and, as set out above, we do not collect your content at all.

Security

Your information is stored in the app’s protected storage on your device and benefits from iOS’s built-in security, including device encryption when you have a passcode set. Keeping your device updated and passcode-protected is the best way to protect your recordings.

Changes to this policy

If we change how the app handles information, we will update this policy and revise the date above. Material changes will be reflected in an app update.
